What are online reputation management services?
Online reputation management services improve what people find when they check a business or person online: reviews, ratings, search results, social mentions and AI answers. The work covers review generation, replies, monitoring, strengthening positive results and crisis response. Digital Magma provides online reputation management services worldwide with policy-compliant methods only.
Layer 1: reviews
Your star rating, how many reviews you have, how recent they are and how you reply. This is what a buyer sees first on Google Maps, Trustpilot, Yelp or an app store.
Layer 2: search
The ten or so organic results on page one when someone types your brand or your founder’s name. This is your brand SERP, and every result on it is either helping or hurting.
Layer 3: AI answers
What ChatGPT, Gemini, Perplexity and Google AI Overviews say when asked “Is this company any good?” Those answers are assembled from the first two layers.
How it differs from nearby services: review software sends requests and collects feedback but does not move search results. PR earns coverage but rarely handles reviews. Reputation management joins the three, with SEO doing the heavy lifting on page one.
When to act
Online reputation management services: signs you need help now
You need online reputation management services when what strangers find about you no longer matches the business you run. These are the seven situations we hear about most.
Your rating slipped
A run of one-star reviews, or no new reviews for months. Recency matters: 74% of consumers look for reviews written in the last three months (BrightLocal, 2026). A good rating from 2022 does little work today.
Page one shows a complaint
A critical article, a forum thread or a complaint site ranks for your brand name. It sits there every time a buyer, investor or candidate checks you.
AI repeats old problems
An assistant describes a complaint you fixed two years ago, lists the wrong founder or mixes you up with a similar name.
Hiring got harder
Candidates mention your Glassdoor, Indeed or AmbitionBox reviews in interviews, or stop replying after they read them.
Your own name is a problem
A founder, doctor or consultant searches their name and finds the wrong person, an outdated job or a personal phone number.
A post is spreading
A screenshot or video about your business is being shared faster than you can reply. That calls for the crisis playbook further down this page.
One more: launching in a new country with zero reviews there. Buyers in that market have nothing to go on, so the first ten honest reviews matter more than any ad. For businesses where Google Maps drives most enquiries, reviews work best alongside local SEO.

Platforms
Online reputation management platforms we cover worldwide
Online reputation management covers wherever your buyers form an opinion, and that list changes by country and industry. We work on these platforms as your agency. None of them is a partner of ours.
Google Business Profile reviews, Search results for your name, the knowledge panel and AI Overviews. Google is the one platform that matters in every market.
Review sites by market
Yelp and BBB listing details in the US, Trustpilot in the UK and Europe, G2 and Capterra for software, TripAdvisor for travel and food, Justdial and Practo in India.
Employer sites
Glassdoor, Indeed and AmbitionBox, where candidates read what former staff wrote before they apply.
Marketplaces and apps
Amazon product ratings and seller feedback, Google Play and App Store reviews.
Social and forums
LinkedIn, Instagram, Facebook, YouTube, X, Reddit and Quora. Reddit threads can rank on page one for brand searches.
AI assistants
ChatGPT, Gemini, Perplexity and Microsoft Copilot, tested with the same prompts every month.
How it works
Online reputation management strategy: how reviews, replies and suppression work
Online reputation management starts with reviews, because that is where most buyers look first. BrightLocal’s 2026 survey of 1,002 US adults found that 97% of consumers read reviews for local businesses, and 31% will only use a business rated 4.5 stars or higher.
Review generation that stays inside the rules
The method is plain. Ask every customer, at the moment they are happiest, with a short link and one sentence. For a clinic that is after the follow-up call. For a software product it is after the first win inside the app. For a builder it is at handover. Asking is normal: 78% of consumers were asked to write a review in the last 12 months (same survey). What breaks the rules is offering a reward or filtering out unhappy customers first. We do neither.
Replies people actually read
Replies are public, so they are written for the next reader as much as for the reviewer. 89% of consumers expect owners to respond, and 19% expect a reply the same day. Our reply standard is simple. Thank the person by name, answer the specific point, own what went wrong, and move details to a private channel. Healthcare and legal clients get an extra rule: never confirm that someone is a patient or client.
Suppression, explained honestly
Page one for a brand name has about ten organic slots. Suppression means filling them with results that are stronger than the negative one: your own site pages, complete profiles, owned media such as a YouTube channel, and earned media such as interviews and trade coverage. We score every result in the brand SERP and aim new assets at the weakest positions first. That is SEO work, and it is why a reputation agency without search skill struggles to move anything.
Entity consistency
Google and AI tools reconcile facts across sources. If your founder, address or services differ across five directories, they guess. Digital Magma makes the same facts appear everywhere so they stop guessing.
The rules
Online reputation management and the law: fake review rules in the US, UK and India
Online reputation management now works inside written law in several markets, and fake reviews have moved from bad practice to legal risk. Here is what each rule says, with the source.
| Market | Rule | What it bans or sets | Source |
|---|---|---|---|
| USA | FTC final rule on fake reviews and testimonials, announced 14 August 2024 | Fake and AI-generated reviews, reviews bought for a specific sentiment, undisclosed insider reviews, fake “independent” review sites, suppressing reviews with legal threats or intimidation, and buying fake social media indicators. The FTC can seek civil penalties. | FTC |
| UK | DMCC Act fake-review provisions, in force from 6 April 2025 | Reviews that claim to reflect a real experience but do not, and commissioning or facilitating them. The CMA can fine up to 10% of global turnover for consumer law breaches. | CMA208 guidance, CMS summary |
| India | BIS standard IS 19000:2022 | How platforms should collect, moderate and publish online consumer reviews. Voluntary at launch. | PIB |
| Google (worldwide) | Google Maps user contributed content policy | No payment, discounts or free goods for reviews. Merchants must not “discourage or prohibit negative reviews, or selectively solicit positive reviews”. |
What this means for you: Digital Magma builds every review request and reply to stay within these rules. This is general information, not legal advice. Speak to a lawyer in your market about your own situation.
Honest limits
Online reputation management: what can be removed and what cannot
Online reputation management can get some content removed, but the platform, publisher or court makes that decision, never the agency. This table shows who decides each case and what we do.
| Content type | Can it go? | Who decides | What Digital Magma does |
|---|---|---|---|
| A review that breaks Google policy (spam, fake, off-topic, conflict of interest, hate speech) | Sometimes | Flag it with evidence, then follow up through the official channel | |
| A real negative review | No, not legitimately | Nobody can remove it for you | Reply well, fix the cause, and earn newer reviews that outweigh it |
| Your phone number, email or home address in Google results | Often, from Google Search | Google, through “Results about you” | File the request. Removal from Google does not delete it from the source site, and news, government and education sites may be refused |
| Defamatory or copyright-infringing content | Possibly | The platform, the publisher or a court | Prepare dated screenshots and URLs for your lawyer. We do not give legal advice or predict the outcome |
| An old but accurate news article | Usually stays | The publisher | Ask the publisher for an update or follow-up, and build stronger results around it |
Red flag
Anyone who promises to “delete” real reviews, or guarantees removal of an article within days, is either guessing or planning something that breaks platform rules. Ask them how, in writing. Sources for this table: Google “Results about you” and the Google policy linked above. General information, not legal advice.
Tools
Online reputation management tools we use
Digital Magma runs its online reputation management services on six tools it uses daily, plus your own accounts. Each one has a specific job.
- Google Business Profile: reviews, replies, listing details and review links
- Google Alerts: new mentions of your brand, founder and product names
- Google Search Console: branded search clicks and which pages rank for your name
- GA4: visits from review sites and branded search, and what they do next
- Ahrefs and Semrush: brand SERP tracking, who links to negative pages, and how strong each result is
AI answers are checked by hand inside ChatGPT, Gemini, Perplexity and Copilot, with the same prompts each month and screenshots kept on file.
Case studies
Online reputation management case studies: our own profile and two client programmes
Digital Magma keeps client names private. The first case is our own Google profile. The other two are client programmes where reviews and brand search were part of wider marketing work, and they are labelled that way.
Digital Magma, founded 2020
Reviews earned the slow, honest way
- Challenge
- A young agency selling trust has to show it first.
- Work
- We asked clients who had worked with us for honest feedback on Google. No rewards, no filtering.
- Result
- 82+ reviews and a 5.0 rating you can check on Google.
A US welding business
Reviews inside a local marketing plan
- Challenge
- Win local calls against bigger shops in the same town.
- Work
- Google Business Profile set-up, a review request process, local SEO and Google Ads, run remotely from Noida.
- Result
- A working review process and a complete local presence. We have no approved figures to publish for this one, so we show none.
An Indian mobile-app development company
Brand presence and search strength
- Challenge
- A thin brand footprint in a crowded global market.
- Work
- International SEO across six countries and a LinkedIn company page programme.
- Result
- 500+ page-one keywords, 100+ at #1. These are marketing results, shown because the same skill fills page one for a brand name. Read the case.

Crisis playbook
Online reputation management in a crisis: the first 24 hours
Online reputation management in a crisis is mostly about the first day. What you say in the first three hours gets screenshotted, so a calm, short and true response beats a fast, long one.
One owner, one voice
Pick one person who decides and one spokesperson. Pause scheduled posts and ads so nothing cheerful goes out by accident.
Holding statement
Two or three factual sentences on the channel where it started: we have seen this, we are looking into it, here is where updates will appear.
Take it private
Invite the people involved to a private channel. Never argue in public comments. Log every fact and screenshot with a time.
Update and after-care
Say what changed. Then publish an FAQ page if needed, watch search results and re-test AI prompts for the following weeks.
Urgent help: call or WhatsApp +91 79823 19697, Monday to Saturday, 9 am to 9 pm IST. Messages sent outside those hours get a reply on the next working day.
Industries
Online reputation management services by industry
Online reputation management services look different in each industry, because the platforms, the rules and the reader change. Six examples.
Healthcare
Doctor and clinic reviews on Google and Practo. Replies protect patient privacy and never confirm that the reviewer is a patient.
SaaS
G2 and Capterra review programmes, plus the founder’s name search that investors and enterprise buyers run.
Ecommerce
Product reviews on your store, Trustpilot and marketplace ratings, where one delivery problem can repeat across hundreds of reviews.
Real estate
Project and builder name searches, where forum threads and complaint sites often rank above the builder’s own site.
Education
Student and parent reviews, and employer reviews that affect faculty hiring.
Local business
Your Google rating on Maps, which often decides the call before anyone opens your website.

Worldwide
Online reputation management services worldwide: markets, platforms and languages
Digital Magma delivers online reputation management services remotely to clients in six countries, from one office in Sector 137, Noida. Work is private and runs on video calls and shared reports.
Platforms change by market
Yelp matters in the US, Trustpilot in the UK, Justdial in India. Google matters everywhere. The audit starts with the sites your buyers actually use.
Rules change by market
The FTC rule, the DMCC Act and India’s IS 19000 all differ (see the rules table above). We apply the strictest one that touches your business.
Replies in your market’s English
US, UK and Australian readers notice spelling and tone. Replies are written the way your customers write. Quotes are given in USD, GBP or AED on scope.
AI answers
Online reputation management for AI answers: ChatGPT, Gemini, Perplexity and AI Overviews
Online reputation management now has to include AI assistants, because 45% of consumers use ChatGPT or other generative AI tools for local recommendations and 82% read AI-generated review summaries (BrightLocal, 2026). If the summary is wrong, many buyers never see the reviews underneath it.
You cannot edit a chatbot’s answer directly. You can fix what it reads. Digital Magma’s online reputation management services treat AI answers as the last step of a chain: sources first, then the answer.
- Prompts we test: “Is [brand] reliable?”, “[brand] reviews”, “[brand] vs [competitor]” and “[founder name]”
- Sources we trace: review sites, Reddit threads, news, directories and your own pages
- Fixes: wrong facts corrected at the source, old complaints answered publicly, fresh coverage earned
- Markup: Organization schema with sameAs links, so your profiles connect to one entity
- Re-test: the same prompts every month, because answers change
We do not claim to know how each engine ranks its sources. We work from what each tool shows publicly. Perplexity, for example, shows the links it cites, which makes source tracing quicker. Deeper AI visibility work sits in our AI SEO services, ChatGPT SEO and AI Overviews optimisation.
Cost
Online reputation management services cost: pricing and what affects it

Compare
Online reputation management agency vs in-house team vs review software
An online reputation management agency makes sense when page one needs to change. Review software alone is fine when the only job is collecting reviews.
| Factor | Agency (Digital Magma) | In-house team | Review software only |
|---|---|---|---|
| Cost | One monthly fee, custom quote | Salary, tools and training | Subscription |
| Skills needed | Included: SEO, writing, PR, schema | You hire each skill | You still write every reply |
| Can it move search results? | Yes, through SEO and positive assets | Only with SEO skill in the team | No |
| Policy risk | Low: compliant methods only | Depends on training | Depends on how settings such as filtering are used |
| Reporting | Monthly, across reviews, search and AI | Whatever you build | Review metrics only |
| Best for | Search problems, multi-platform work, crises | Large brands with steady volume | Businesses that only need more reviews |
Which tactics are allowed, and which we use
| Tactic | Allowed? | Does it work? | We use it? |
|---|---|---|---|
| Asking every customer for a review | Yes | Yes, over time | Yes |
| Replying to every review | Yes | Yes, readers notice | Yes |
| Flagging policy-violating reviews | Yes | When the review really breaks policy | Yes, Google decides |
| Building positive pages and profiles | Yes | Yes, the core of suppression | Yes |
| Legal removal requests | Through a lawyer | Case by case | Documentation support only |
| Review gating | No, against Google policy | Short term, then risky | Never |
| Buying or writing reviews | No: FTC rule, DMCC Act, Google policy | Until it is caught | Never |
| Fake accounts on forums | No | Until it is caught | Never |
ORM vs SEO vs PR: SEO decides which pages rank, PR earns the coverage worth ranking, and reputation management points both at the searches for your name while handling reviews. They overlap heavily, which is why we plan them together.
Buyer’s guide
Online reputation management company checklist: how to choose and what to avoid
A good online reputation management company has a real reputation of its own and tells you what it cannot do. Use this list on anyone you speak to, Digital Magma included.
Green flags
- A real rating on its own Google profile, with detailed reviews
- A written audit that separates fixable from unfixable
- Compliant review requests only, with no rewards or filtering
- Proven SEO skill, since suppression is search work
- AI answer checks as part of the audit
- Monthly numbers you can verify yourself
Red flags
- Offers to buy, write or swap reviews
- Promises to delete real reviews
- Review gating: asking only happy customers
- Fake accounts on Reddit, Quora or review sites
- Guaranteed removal “in days”
- No reviews of its own, or a suspiciously perfect set with no detail
Six questions to ask before you sign
- Which of my problems do you think cannot be fixed, and why?
- How exactly will you ask my customers for reviews?
- Which results on my page one will you target first?
- Who writes the replies, and do I approve them?
- What will the monthly report show?
- What happens to profiles and content if we stop working together?
What to expect
Online reputation management timeline: what happens in 30, 60 and 90 days
Online reputation management moves in stages, and this is what we do in each. How fast results show depends on the size of the problem, not on a fixed schedule.
Foundations
Audit done, profiles fixed, the review system live and every open review answered.
Momentum
New reviews arrive steadily. New positive profiles and pages are published and indexed.
First movement
Weaker negative results can start to move on page one. Rating and response time are tracked against the start.
The harder cases
Strong negatives take longer, often many months. The deciding factor is how authoritative the negative page is.
What affects timing: the authority of the site hosting the negative result, how many people search your name, how many customers you serve each month, and how fast your team approves replies and content. We do not promise dates for search results.
Measurement
Online reputation management KPIs and reporting
Digital Magma reports online reputation management on eight numbers, each with a fixed definition, so a good month and a bad month look different on paper.
| Metric | Definition | Where we measure it |
|---|---|---|
| Average star rating | Mean rating per platform | Google Business Profile, review sites |
| Review count and review velocity | Total reviews and new reviews per month | Each platform |
| Review recency | Share of reviews from the last 90 days (74% of buyers want reviews from the last three months) | Each platform |
| Review response rate and time | Share of reviews answered, and median hours to reply | Our reply log |
| Sentiment of mentions | Positive, neutral and negative brand mentions | Google Alerts and manual review |
| Page-one share | Positive, neutral and negative results on page one for each tracked name | Ahrefs, Semrush, manual checks |
| AI answer accuracy | Share of test prompts answered correctly | Monthly prompt tests |
| Branded search clicks | Clicks from searches containing your name | Google Search Console |
Where we track competitors too, the report adds share of voice: your mentions against theirs.
Avoid these
Online reputation management mistakes and myths
Most online reputation management damage we see was self-inflicted, usually in the first angry hour. Eight patterns come up again and again.
Arguing in public
You might win the point. You lose every reader who scrolls past the thread.
“Everyone gates reviews”
Asking only happy customers breaks Google policy. Common does not mean safe.
Rewards for reviews
Discounts for reviews break Google policy and can breach the FTC rule or the DMCC Act.
A wall of empty 5-stars
Twenty detail-free five-star reviews in a week look bought, to buyers and to Google.
“Delete the internet”
Nobody can wipe real content. Plans built on that myth waste months.
Ignoring AI answers
An assistant repeating a 2021 complaint does damage every day, quietly.
Copy-paste replies
The same “Sorry for your experience” under every review tells readers nobody is listening.
Legal threats
Threats draw more attention, and the FTC rule bans suppressing reviews through false threats or intimidation.
More about how founder Ankit Sachan works on his author page.
2026
Online reputation management trends in 2026
Online reputation management in 2026 is shaped by regulation and by AI summaries. Each trend below has a date or a source.
Enforcement became law
The FTC rule was announced in August 2024. The UK’s DMCC Act fake-review ban took effect on 6 April 2025, with a short CMA grace period before normal enforcement.
AI summaries sit on top
82% of consumers read AI-generated review summaries (BrightLocal, 2026). The summary is the new first impression.
Assistants recommend businesses
45% of consumers use ChatGPT or other generative AI tools for local recommendations, according to the same survey.
Recency counts more
74% look for reviews from the last three months. A steady flow of reviews beats a big batch once a year.
Employer reviews and hiring
Candidates check Glassdoor, Indeed and AmbitionBox before they apply, so HR teams now share ownership of reputation.
Standards for platforms
India’s IS 19000:2022 gives platforms a benchmark for collecting, moderating and publishing reviews.
People and proof
Online reputation management team and client reviews at Digital Magma

Ankit Sachan
Founder & Head of SEO, Digital Magma
Ankit has spent more than ten years in SEO and digital marketing. He led SEO at a mobile app development company for five years, growing organic traffic from about 800 to over 50,000 sessions a month across six countries, and ranked a Noida software company at number one for “top software development companies in noida”.
He specialises in technical, local and international SEO, brand search, and GEO and AEO for AI answers. MBA from Amity University and BA from Hindu College, University of Delhi. About Digital Magma.
“What stood out most was their communication and transparency. They provide regular updates and explain performance in simple terms.”
“They explain strategies clearly and focus on long-term business growth instead of short-term promises.”
“Started working with Digital Magma a few months back for local SEO. We are seeing steady improvement in rankings and customer inquiries.”
FAQs
Online reputation management services FAQs
What do online reputation management services include?
Online reputation management services from Digital Magma include review generation, review replies, flagging policy-violating reviews, brand SERP audits, positive content and suppression, employer review profiles, social listening, AI answer audits, knowledge panel work and crisis response. The audit decides which of these you need.
How much do online reputation management services cost?
Digital Magma prices online reputation management services by custom quote after an audit, because a few missing reviews and a negative article on page one are very different jobs. Platforms, locations, names covered and urgency set the price. Reviews inside our local SEO plan cost ₹14,999 a month plus GST.
Can you remove negative Google reviews?
We can flag reviews that break Google policy, such as spam, fake or conflict-of-interest reviews, and Google decides whether to remove them. A real negative review cannot be legitimately removed by anyone. We help you reply well and earn newer reviews that outweigh it.
Can you remove a negative article or search result from Google?
Removal is decided by Google, the publisher or a court, never by us. Personal contact details can often be removed from Google Search through “Results about you”. For defamation or copyright, we prepare documentation for your lawyer. For accurate articles, we build stronger results and may ask the publisher for an update.
Do you write, buy or incentivise reviews?
Digital Magma never writes, buys, swaps or rewards reviews. Fake and incentivised reviews break Google policy, the US FTC rule and the UK DMCC Act. We only ask real customers for honest feedback. This is general information, not legal advice.
How long does online reputation management take?
Review systems and profile fixes happen in the first month. New reviews build steadily after that. Moving search results depends on how strong the negative page is: weaker results tend to move sooner, and strong ones take much longer. We do not promise dates.
How do you get more Google reviews without breaking the rules?
Ask every customer, happy or not, at the moment the job is done, with a short review link and no reward. Make it part of the process, for example in the invoice email or a follow-up message. Steady asking beats occasional campaigns.
Is review gating allowed?
Review gating is not allowed on Google. Its policy says merchants must not selectively solicit positive reviews or discourage negative ones. Screening customers first and sending only happy ones to Google breaks that rule, so we never set it up.
What does ChatGPT say about my business, and can you change it?
Digital Magma tests a fixed set of prompts in ChatGPT, Gemini, Perplexity and Copilot to see what they say about you and where it comes from. Nobody can edit an AI answer directly. We fix the sources it reads, then re-test every month.
Do you offer reputation management for individuals, doctors and executives?
Digital Magma handles personal reputation for founders, doctors, lawyers and consultants. The work covers your name search, professional profiles, bylined content, and “Results about you” requests for personal contact details. Everything is handled privately.
Should I reply to every review, and how?
Reply to every review, positive and negative. 89% of consumers expect owners to respond (BrightLocal, 2026). Thank the person, answer their actual point, own any mistake, and move details to a private channel. Keep it short and never argue.
What should I do if a negative post goes viral?
Pick one decision-maker, pause scheduled posts and post a short factual holding statement within a few hours. Move the conversation private, fix the cause and update people within 24 hours. Call us on +91 79823 19697 during working hours for help.
Is online reputation management the same as SEO?
Online reputation management uses SEO but is wider. SEO decides which pages rank for your name. Reputation management also covers reviews, replies, social listening, crisis response and AI answers. Suppressing a negative result is SEO work pointed at your brand search.
Can you help with Glassdoor, Indeed or AmbitionBox reviews?
We manage employer profiles, write calm replies to former staff and help you ask current employees for honest feedback without pressure or rewards. We cannot remove real employee reviews. Better replies and fresh, real reviews change how candidates read the page.
How do you measure online reputation management success?
Digital Magma tracks eight numbers: average rating, review velocity, review recency, response rate and time, sentiment of mentions, page-one share for each name, AI answer accuracy and branded search clicks in Google Search Console. You get them in a monthly report.
