Dedicated SEO team: what it is
A dedicated SEO team is a fixed group of SEO specialists, usually a strategist, a technical SEO, content people and an outreach specialist, assigned to one company or agency and working inside its tools and priorities. Digital Magma’s dedicated SEO team sets the plan with you, ships the work in your workflow and reports monthly, with founder Ankit Sachan accountable.
The word that matters is “dedicated”. It means the same people every month. They learn your templates, your product names, the way your developers like tickets written and which pages your sales team actually cares about. That context is the asset. A rotating pool loses it every time the account changes hands, and you pay for the relearning.
The split of responsibility is simple. You set the objectives and the order of priorities: which product line, which market, which quarter. The team decides how the work gets done and answers for its quality. You do not manage individuals, approve their leave or check their grammar. You review outcomes and sign off anything that touches your brand or your code.
Most of the value shows up in the boring middle of the work. A technical specialist who has already crawled your site three times spots a new problem in minutes. A writer who has read your last forty approved pages needs fewer revisions. A strategist who sat in last quarter’s review knows why a keyword was dropped. Over a year, those small savings add up to far more shipped work than the same budget spread across strangers.
Digital Magma builds each team around the job in front of it, so the mix differs from one client to the next. One might need a heavy technical lead for a site full of JavaScript. Another needs two writers and a PR specialist for a content-led market. The proposal names the roles and the time each one gets, and that becomes the contract.
What it is not
Dedicated SEO team vs retainer, hourly block or staff leasing
A dedicated SEO team differs from a retainer, an hourly block or staff leasing in one way above all: the same assigned people carry your context, while the agency still manages them and reviews their output.
| Question | Agency retainer | Hourly block | Staff leasing | Dedicated SEO team |
|---|---|---|---|---|
| Who sets priorities | The agency, inside a fixed deliverable list | You, month by month | You, day by day | You set goals, the team plans the work against them |
| Who manages the people | The agency | Nobody in particular | You | The agency, with a named lead |
| Who checks quality | The agency | You | You | A senior review before work reaches you |
| Continuity of people | Varies, often shared across many clients | Low | One person, so a single point of failure | The same assigned people, with written documentation |
| How output is measured | Deliverables ticked off | Hours logged | Attendance and tasks | Tickets shipped plus business outcomes |
| How you pay | Monthly fee | Per hour | Monthly salary plus a margin | Monthly fee based on roles and time per role |
This table is about who does the work. If you are still deciding whether to send work abroad at all, the delivery and contract models are covered on our offshore SEO company page, and the outsourcing decision itself on outsource SEO to India.
Good fit
Dedicated SEO team: when it makes sense
A dedicated SEO team makes sense when the work is too broad for one person and too steady for a project: agencies with overflow, companies running several sites, and in-house teams with writers and developers but no search specialist.
Agencies with more SEO than staff
You have sold search work to more clients than your people can serve well. A team working under your brand absorbs the overflow while you keep the client relationship.
Several sites, or one very large one
Ecommerce catalogues, marketplaces, publishers and SaaS companies with a docs section, a blog and app pages. The volume of templates and URLs needs more than one pair of hands.
In-house teams missing the SEO skill
You already have writers, designers and developers. What you lack is someone to decide what they should build for search and to check it before release.
A redesign or migration, then ongoing work
Google’s own guide, Do you need an SEO?, says “a great time to hire is when you’re considering a site redesign (the earlier, the better)”. A team can plan the migration, then stay on for the growth work.
An international roll-out
New country sections for the US, UK, Canada or Australia need hreflang, local spelling, local pricing pages and separate keyword research. That is several specialities at once.
Search plus AI answers
Companies that want the same group to handle Google rankings and visibility in ChatGPT, Perplexity and AI Overviews, so the two efforts do not contradict each other.
Honest limits
Dedicated SEO team? When a smaller option is better
A dedicated SEO team is overkill for many businesses, and Digital Magma will point you to something smaller when the job does not justify several people.
You need a one-off diagnosis
If the question is “what is wrong with our site?”, buy an audit. Ours is USD 500, one-time, and you can hand the fix list to anyone. Or start with the Discuss Your Project.
One small site, one city
A plumber or a clinic serving one metro needs Business Profile work, reviews and a few location pages. Local SEO from USD 500 a month covers that.
One person would do
A single site with a clear focus is usually better served by one experienced specialist. See hire an SEO expert in India.
Cost cutting is the only goal
A team costs more than a standard retainer because several people are reserved for you. If the cheapest monthly bill is the target, compare SEO packages instead.
You need people on site
Workshops in your office, photo shoots or trade-show cover need someone physically present. Our people work remotely from Noida.
The roadmap is still blank
Hiring four specialists before anyone knows what to fix wastes the first month. Do the audit, read the backlog, then decide how big the team should be.
Roles
Dedicated SEO team roles: who does what
A dedicated SEO team from Digital Magma is built from five roles: a lead, a technical specialist, content people, an outreach specialist and an account manager. Which of them you need, and for how much time, depends on your site.
SEO lead / strategist
Owns the SEO roadmap and the keyword mapping document that ties every target search to one page. Sets monthly priorities with you, runs the quarterly review and decides what gets dropped when time is short.
Technical SEO specialist
Crawls with Screaming Frog, pulls competitor data from Ahrefs and Semrush, reads Google Search Console, fixes indexing, canonical tag and redirect problems, and checks Core Web Vitals against web.dev’s thresholds: LCP within 2.5 s, INP at 200 ms or less, CLS at 0.1 or less (web.dev). Also owns structured data, JavaScript rendering and release QA.
Content strategist and SEO writer
The strategist writes briefs from search intent and competitor gaps. The SEO writer drafts and rewrites pages, plans each content refresh, and adds the internal linking that points authority at money pages. Content writing
Outreach / digital PR specialist
Turns your data and expertise into stories editors want, answers journalist requests, reclaims unlinked brand mentions and builds citations on the sites AI tools quote. Digital PR
Account manager
Keeps tickets moving, chases approvals, runs the weekly update and the monthly report, and is the person your project manager talks to first.
On call from the wider Digital Magma team
A WordPress or Shopify developer, a designer and a Google Analytics 4 / Google Tag Manager specialist, brought in when a ticket needs them. Website design
These are the dedicated SEO professionals a team can draw on. Digital Magma does not publish a headcount. The proposal names who works on your account and how much of their time is reserved for you.

Team shapes
Dedicated SEO team shapes: core, growth and multi-site
Digital Magma uses three dedicated SEO team shapes as starting points for the conversation. None is a fixed package. Each is scoped in the proposal, with roles and time per role written down, and priced as a custom quote.
Core
Roles: a lead plus one specialist, either technical-led or content-led depending on the site’s main problem.
Suits: one mid-sized site where a single bottleneck holds growth back, such as poor indexing or thin service pages.
Cannot cover well: heavy outreach, or several markets at once.
Growth
Roles: a lead, a technical specialist, content people and an outreach specialist.
Suits: competitive national sites and ecommerce stores where rankings depend on pages, fixes and authority together.
Cannot cover well: a portfolio of unrelated sites, because priorities start to fight.
Multi-site / agency
Roles: a lead, specialists split across sites or client accounts, and an account manager to run the queue.
Suits: agencies with several SEO clients and companies running a group of brand or country sites.
Cannot cover well: very different industries on one team without extra ramp-up time.
Picking a shape is mostly about the site’s biggest constraint. If Google cannot see half your pages, more content is wasted effort, so the team leans technical. If the site is clean but thin, it leans content. If you already have strong pages and still sit on page two, authority is the gap and outreach gets more time.
Shapes also change. A team often starts technical-heavy for the first quarter, then shifts time toward content once the template fixes are live. Scaling up or down happens at the notice agreed in your scope. We do not invent a standard notice period here, because it depends on the roles involved.
Process
Hire dedicated SEO team with Digital Magma in 6 steps
To hire a dedicated SEO team from Digital Magma, you go through six steps, and each one ends with a document you keep whether or not you go ahead.
Discovery
Your sites, goals, current team, tools and release process. We also ask who approves what. Output: a written brief you can correct.
Audit
A crawl, a Search Console and GA4 review and a competitor scan. The USD 500 SEO audit can be this step. Output: a backlog ranked by business impact.
Team design
The backlog decides the roles and the time each one needs. Output: a proposal with the team shape and a custom quote.
Meet the team
A video call with the people assigned to your account, so you can ask them questions directly. Output: a named team sheet.
Onboarding
Access at the right level, your style guide, your ticket format and your release calendar. Output: an onboarding checklist, signed off by both sides.
Monthly cycle
Plan, ship, report, review. The roadmap is re-ranked each month as results come in. Output: a monthly report and a regular review.
Want to see how we think before you commit to a team? The Discuss Your Project is a quick first look, and the paid audit is the full one.

Workflow
Dedicated SEO team inside your workflow: tickets, sprints and releases
A dedicated SEO team should fit your workflow rather than add a new one. Digital Magma works in the project tool you already use, writes tickets your developers can act on, and checks releases on staging before they go live.
Tickets with acceptance criteria
“Fix the canonicals” is a bad ticket. A good one names the URLs or template, the current behaviour, the expected behaviour and how to test it. For example: the category template outputs a canonical tag pointing to itself, the URL returns 200, the page appears in the XML sitemap and is not blocked in robots.txt. Developers close tickets like that in one pass, and nobody argues later about whether it was done.
SEO inside the sprint
If your developers run two-week sprints, SEO work joins the same backlog and gets estimated like everything else. The lead brings a ranked list to sprint planning. Small fixes go into the next sprint. Template changes that touch thousands of URLs get their own ticket and a test plan. Nothing jumps the queue unless it is costing traffic today.
Release QA on staging
Before each release, the technical specialist checks staging for the problems that hurt quietly: redirects that chain or loop, canonicals pointing at the wrong place, a stray noindex, robots rules copied from staging to live, content that only appears after JavaScript runs, and structured data that no longer matches the visible page. Sign-off is written into the ticket.
Continuity
Dedicated SEO team continuity: documentation, cover and handover
A dedicated SEO team keeps working when one person is ill or leaves because Digital Magma keeps the knowledge in shared documents, not in anyone’s head, and the founder stays across the strategy on every account.
Living documentation
Four documents sit in a folder you can open: the roadmap, the decisions log (what we chose, and why), the keyword map, and the access list. They are updated as work happens, not rebuilt at year end. Anyone joining the account reads them first.
Founder oversight
Ankit Sachan reviews the strategy and anything risky on each account, such as a migration, a redirect map or a template change. That gives you one senior person who knows your history even if a specialist changes.
Planned leave
Holidays are known in advance, so the backlog is arranged around them and you hear about it in the weekly update. Urgent issues during someone’s leave go to the lead.
If someone leaves
Digital Magma handles the change: a new person is briefed from the documentation and the change log, so work picks up from your history. How this works for your account is set out in the proposal.
Clear ownership of decisions also protects continuity. We agree a simple RACI at onboarding: who is responsible for each type of work, who is accountable, who must be consulted and who just needs to know. Content facts are usually yours to approve. Redirect plans are usually ours to propose and your developers’ to ship. Writing it down once saves weeks of “I thought you were doing that”.
Hours
Dedicated SEO team India: how our hours fit your team’s week
A dedicated SEO team in India at Digital Magma works Monday to Saturday, 9 am to 9 pm IST. India stays on UTC+5:30 all year, so your overlap moves by an hour when your own clocks change.
| Your team is in | Our working day, in your time | How the hand-off usually runs |
|---|---|---|
| US Eastern | 11:30 pm to 11:30 am (EDT), one hour earlier in winter | Weekly call in your early morning. Tickets filed in your afternoon are picked up at the start of our day. |
| US Central | 10:30 pm to 10:30 am (CDT), one hour earlier in winter | Same pattern as Eastern, with a slightly shorter morning window. |
| US Pacific | 8:30 pm to 8:30 am (PDT), one hour earlier in winter | Early-morning calls only. Most coordination runs through written updates. |
| United Kingdom | 4:30 am to 4:30 pm (BST), 3:30 am to 3:30 pm (GMT) | Most of your working day is shared, so sprint ceremonies are easy to attend. |
| Sydney | 2:30 pm to 2:30 am (AEDT), 1:30 pm to 1:30 am (AEST) | Your whole afternoon is shared. |
The honest limit: a West Coast product team that runs a live afternoon stand-up will find the overlap thin. For those teams we suggest the lead joins one early planning call each sprint and everything else runs in writing. The full time-zone detail for single hires is on our hire SEO expert in India page.
Access and ownership
Dedicated SEO resources and access: who gets into which account
Dedicated SEO resources at Digital Magma get only the access their role needs, inside accounts you own. You keep Admin rights everywhere, and an NDA is available on request.
| Account | Who on the team needs it | Typical level |
|---|---|---|
| Google Search Console | Lead, technical specialist | Full user. You stay the owner. |
| Google Analytics 4 | Lead, account manager, analytics specialist | Viewer for reporting, Editor only if we build events |
| Google Tag Manager | Analytics specialist | Publish rights only when a tracking ticket needs them |
| CMS | Content people | Editor, not administrator |
| Staging and code | Technical specialist | Only where tickets require it, agreed with your developers |
| Google Business Profile | Local work, where relevant | Manager |
You own every account and all work product: pages, briefs, the keyword map and every link earned. When an engagement ends, we remove our own access and hand over the documentation. Work is white-hat only, in line with Google’s spam policies. Contract, IP and exit terms are covered on the offshore SEO company page.
For agencies
Dedicated SEO team for agencies: extra capacity under your brand
Agencies use a dedicated SEO team from Digital Magma as white label capacity: the people work under your agency’s name, and your clients see your brand on every report. You keep the relationship and set your own price.
The practical difference from buying ad hoc white-label tasks is memory. The same specialists stay on your client accounts, so they know each client’s quirks, past decisions and approval habits. Your account manager talks to one lead instead of briefing a new freelancer every month.
Reports and dashboards can be unbranded or carry your logo. We have no contact with your client unless you ask for it. The team grows or shrinks with your client roster, at the notice agreed in the scope.
Large sites
Dedicated SEO team for large and multi-site websites
A dedicated SEO team earns its cost fastest on large and multi-site websites, where one template fix can repair thousands of URLs and one bad release can break them just as fast.
Crawl budget and log file analysis
On big sites, Googlebot’s time is limited. Log file analysis shows which sections it visits, which it ignores, and how much of its effort goes on parameter URLs nobody needs.
Faceted navigation
Colour, size and price filters can create millions of near-duplicate URLs. The team decides which combinations deserve to be indexable pages and which should be blocked or canonicalised.
Templates before pages
Fix the product template once and every product page benefits. The team works template-first, then on individual high-value pages.
International structure
Hreflang between US, UK, Canadian and Australian sections, country folders, and local spelling and currency, so the right version ranks in each market.
JavaScript frameworks
React and Next.js sites need server-side rendering or pre-rendering so crawlers see content on first load. The UK tele-oncology project below moved from React to Next.js for exactly this reason.
Governance across sites
An SEO check in every release, a dashboard per site, and one shared standard for titles, schema and internal links across the portfolio.
Industry pages: ecommerce marketing and SaaS marketing.
Pricing
Dedicated SEO team cost: how pricing works
A dedicated SEO team from Digital Magma is priced as a custom quote, built from the roles you need and the time reserved for each. If you do not need a team, three published prices cover the smaller options.

Public numbers for context
Ahrefs surveyed 439 SEO providers (Ahrefs, updated August 2024). The most popular monthly retainer was $501 to $1,000. Among US and Canadian providers, 79.1% charged at least $1,001 a month. Note these are retainers for one provider, not for a team of specialists.
For in-house, the US Bureau of Labor Statistics reports a median of $78,760 a year (May 2025) for market research analysts and marketing specialists, a group that includes search marketing strategists. That is one person, before benefits, tools and management time. A four-role team on payroll multiplies it.
How your service quote is scoped
₹40,000 is our minimum paid engagement, not a fixed price for every service or a promise that every deliverable is included. For this service, the quote depends on website size, technical complexity, locations and languages, content production, authority work and SEO or AI-search reporting.
Recurring work is quoted per month; a standalone audit, build or production project is quoted separately. Your proposal confirms deliverables, quantities, timelines, revisions, applicable taxes and third-party costs before work begins. Larger programmes are custom quoted with no upper price limit.
Compare
Dedicated SEO team vs in-house SEO team vs agency vs freelancers
An in-house SEO team wins on long-term ownership, a dedicated SEO team wins on speed and breadth of skills, and many companies end up running both: an in-house owner directing dedicated specialists.
| Factor | In-house SEO team | Standard agency | Freelancers | Dedicated SEO team |
|---|---|---|---|---|
| Cost structure | Salaries, benefits, tools, recruiting | Monthly retainer | Per task or per hour | Monthly fee by role and time |
| Time to start | Months of hiring | Weeks | Days | Weeks, after the audit and team design |
| Breadth of skills | Limited by headcount | Wide, but shared | One skill per person | Wide, and assigned to you |
| Continuity | High while people stay | Varies | Low | High, backed by documentation |
| Your management load | High | Low | High | Low to medium |
| Who is accountable | Your SEO manager | The account lead | Each freelancer for their own task | One named lead for the whole team |
| Best for | Large firms with long horizons | Steady single-site work | Small, well-defined jobs | Multi-site, agency overflow, fast scale-up |
The hybrid works well. Your in-house SEO manager owns strategy and internal politics, and the dedicated team does the volume work underneath. Need marketing roles beyond search, such as ads or social? See hire digital marketing experts.
Measurement
Dedicated SEO team KPIs: output and outcomes
Measure a dedicated SEO team on two levels. Output shows whether the team is working. Outcomes show whether the work is paying off. Digital Magma reports both, and never one without the other.
Output (is the team shipping?)
- Tickets shipped against tickets planned
- Pages published and pages refreshed
- Technical issues closed, by severity
- Links and mentions earned, with the source
- Approvals waiting on your side
Outcomes (is it paying off?)
- Organic leads or revenue by landing page in GA4
- Positions for money keywords
- Clicks and impressions in Search Console
- Indexed pages against submitted pages
- Core Web Vitals pass rate
- AI citations, checked by hand
The rhythm is a short weekly update, a monthly report and a quarterly business review where the roadmap and team shape are re-set. Keep expectations grounded: Ahrefs found that “only 1.74% of newly published pages rank in the top 10 within a year” (Ahrefs, May 2025). Output should rise in month one. Outcomes take longer.

AI search
Dedicated SEO team for AI search: GEO and AEO built in
A Digital Magma dedicated SEO team handles AI search as part of the same roadmap, because Google says AI answers in Search rest on the same foundations as rankings. Its guidance on AI in Search says there are no additional requirements to appear in AI Overviews or AI Mode.
A team has an advantage here over a single specialist. Generative engine optimization touches every role. The lead keeps your business facts consistent across your site, profiles and directories. Writers open key pages with answer-first passages an assistant can quote, which is the core of answer engine optimization. The technical specialist keeps structured data matched to the visible text. The outreach specialist earns mentions on the sources that ChatGPT, Perplexity and AI Overviews already cite in your sector.
Each month, the team checks a fixed set of buyer prompts by hand and records whether you are named, and how. Nobody can guarantee a citation, and we do not.
Choosing a provider
Dedicated SEO services provider: how to choose (checklist and red flags)
Choose a dedicated SEO services provider by meeting the actual people, reading a written scope and confirming you own every account. Use the same checklist on Digital Magma.
Green flags
- You meet the people who will do the work before signing
- One named lead is accountable in writing
- The scope lists roles and time per role
- You own Search Console, GA4 and the CMS
- Documentation is shared with you, not kept back
- Results come with a data source and dates
Red flags
- A “team” that turns out to be one busy person
- An anonymous pool, with new faces every month
- Link packages sold by the hundred
- Guaranteed rankings or guaranteed AI citations
- Accounts created in the provider’s name
- No written scope before the invoice
Google’s guide to hiring an SEO suggests questions to ask any provider. Four of them work especially well for a team, quoted as Google wrote them:
- “Can you show me examples of your previous work and share some success stories?”
- “Do you follow the Google Search Essentials (previously known as Webmaster Guidelines)?”
- “What’s your experience developing international sites?”
- “How can I expect to communicate with you?”
What to expect
Dedicated SEO team: the first 90 days
The first 90 days with a Digital Magma dedicated SEO team follow a fixed order: set up and diagnose, fix at template level, then start building authority and adjust the team shape.
Onboard and diagnose
Access confirmed, audit finished, backlog ranked, tracking checked in GA4 and Google Tag Manager, and the first quick fixes shipped.
Fix and publish
Template-level technical fixes go live. Priority pages are rewritten. The content pipeline runs at its planned pace.
Build and review
Outreach starts. The first quarterly review compares results with the plan, and the team shape is adjusted if the backlog has changed.
Compound
New pages gain age and links. Harder keywords begin to move. The roadmap rolls forward each quarter.
Your side of the first month: give access, name one approver, share your brand and style rules, and invite the lead to sprint planning.
Accountability
Dedicated SEO specialists: who leads them, and what clients say
Every dedicated SEO specialist on a Digital Magma team reports to one accountable person, the founder, who signs off the strategy and reviews anything that could cost you traffic.
Ankit Sachan
Founder & Head of SEO, Digital Magma
Ankit has worked in search and digital marketing for more than ten years and has managed SEO teams along the way. The longest programme he led ran for five years across six countries for a mobile app company, taking organic sessions from roughly 800 to more than 50,000 a month.
He specialises in technical and international SEO and in GEO and AEO for AI search. He holds Google certifications in Google Ads, Google Analytics 4 and Google Business Profile, and has 30K+ followers on LinkedIn.

FAQs
Dedicated SEO team: frequently asked questions
What is a dedicated SEO team?
A dedicated SEO team is a fixed group of SEO specialists, typically a strategist, a technical specialist, content people and outreach, assigned to one company or agency. They work inside your tools and priorities, while the provider manages them and checks quality. At Digital Magma, founder Ankit Sachan is the accountable lead.
How much does a dedicated SEO team cost?
A dedicated SEO team at Digital Magma is a custom quote, based on the roles you need and the time reserved for each. Smaller options have published prices: an SEO audit at USD 500 one-time, local SEO from USD 500 a month and ongoing SEO from USD 600 a month, all plus applicable taxes.
How is a dedicated SEO team different from an agency retainer?
A retainer buys a list of deliverables, often produced by whoever is free. A dedicated team assigns named people who keep your context month after month, work in your sprints and tools, and are measured on shipped tickets and business outcomes as well as deliverables.
Do the team members work only on our account?
The proposal names the people on your account and states how much of each person’s time is reserved for you. You see that split in writing before you sign.
What happens if a team member leaves?
The handover is set out in your proposal. Because the roadmap, decisions log, keyword map and change log are kept up to date, the new person starts from your history, not from zero. The founder stays accountable for the account throughout.
Can we start with one specialist and scale up?
Starting small works well. You can begin with a lead and one specialist, then add content or outreach once the technical backlog is under control. Changes in size happen at the notice agreed in your scope. For a single-specialist start, see our hire SEO expert in India page.
How long does it take to set up a dedicated SEO team?
Set-up follows six steps: discovery, audit, team design, meeting the team, onboarding and the first monthly cycle. The pace depends mostly on how quickly access and approvals arrive on your side. We agree the start date in the proposal rather than quoting a standard figure.
Can a dedicated SEO team work in our sprints and project tools?
Working inside your process is the point. Digital Magma uses the project tool you already have, writes tickets with acceptance criteria, joins sprint planning where time zones allow, and checks releases on staging before they go live.
What roles does an SEO team need?
Most SEO teams need five roles: a strategist or lead, a technical SEO specialist, a content strategist with writers, an outreach or digital PR specialist, and someone to run the account. Small sites can combine roles. Large or multi-site programmes usually need each role filled separately.
Can agencies use a dedicated SEO team under their own brand?
Agencies can use a Digital Magma team as white-label capacity. Work is delivered under your brand, reports are unbranded or carry your logo, we do not contact your client unless you ask, and an NDA is available on request. You keep the client and set your own price.
Who owns the work, the accounts and the content?
You own all of it: domain, Search Console, GA4, CMS, every page, brief and link. The team is added as users at the lowest level each role needs. When the engagement ends, we remove our access and hand over the documentation.
Does the team cover GEO and AI search?
AI search is part of the same roadmap. The team keeps business facts consistent, writes answer-first passages, matches schema to visible text, earns mentions on sources AI tools cite, and checks ChatGPT, Perplexity and AI Overviews by hand each month. Citations cannot be guaranteed.
Is a dedicated team better than building an in-house SEO team?
